The scheduling system has multiple ways of handling volunteer Groups with minimal organization interaction and effort. The system can be configured to use one or both of the 2 options below. The Groups component of the Volunteer Scheduling system can be entirely disabled if desired.

  1. One main Volunteer Group Leader/contact who will schedule the group.
    • Groups may be scheduled automatically when the Group Leader schedules them, or the system can be configured so that Group Leaders "request" their Group be scheduled. If set up in "request" configuration, your staff will receive an email with each Groups requested date, time, project. Your staff can single-click to approve and schedule the Group on the requested items.
    • If the Group Leader provides the Group Members email addresses, each Group Member will:
      • receive a emailed request for them to complete the volunteer registration process when the group is created (or when they have been added to the group later).
      • receive a notification with details when the group is scheduled.
      • receive a "Thanks" email the day after each set of consecutive volunteer dates.
      • receive a "Project Completed" email once their project is completed (date sent and custom email for each project set by your staff).
      • have access to their Groups page which displays their Group information and a list of all Group Members (as provided by Group Leader)

      NOTE: Emails to Group Members (other than Group Leader) may be disabled on a per-Group basis, or globally for all Groups.

     
  2. Loose Group Members where the volunteer organization is not sure who, how many, or when their Group Members will be volunteering. This is done by using what we call Access Codes.
    • Access Codes are created/assigned by your staff.
    • Access Codes can be a link or code provided to the Volunteer Organization.
    • Access Codes can display one or more Projects as desired, and any set of dates on each Project.
    • Access Codes can be configured to display only Individual or Group Opportunities, or both.
    • If a volunteer does not have their Access Code or Link, they are able to request the Access Code from the Access Code primary contact.
    • The Volunteer Calendar will display only the project(s) and dates associated with their Access Code, ensuring those volunteers sign up within their designated time frame and on specific projects.
    • Access Codes can be configured to "draft" anyone who uses a Access Code into a specific volunteer Group. This is helpful so that the individuals are automatically associated with their Group just by using their Groups Access Code.

    Also, it is very helpful if you complete the online Registration & Orientation yourself on the Demo site as if you were going to volunteer before administering those areas. It only takes about 15 minutes, and the administrative web tools will be much more intuitive. If you use a correct email address, you will receive the same emails from the system as a new volunteer would.
