This service is ONLY available on POP email accounts where your web site is hosted on the Tools for Organizations server. This service is automatically active on every POP email account, you do not need to change any settings on your local computer, but you may decide you want to set up a mail filter on your computer as described below. If you do NOT want automatic SPAM filtering, just log into the admin area on your website, click the Email Administration button, and disable it there. You can also change what level SPAM emails are automatically deleted, or moved to a SPAM folder if you are using web mail.
We utilize a program (SPAM Assassin) which filters all incoming email looking for SPAM. If it detects an email is SPAM, it will prepend the subject line with "***SPAM". You will still receive the suspected SPAM email. We suggest after opening up an email account, you wait for 2-4 weeks, then set up a filter in your email client to delete these automatically. This allow you to verify it does not accidentally flag a non-SPAM email as SPAM. To our knowledge with all of the Tools for Organizations clients, it has not yet labeled an email as SPAM that was not. Ocassionally, you may still receive a SPAM email, as this progam catches approximately 99% of SPAM email.
To set up a SPAM filter to automatically delete incoming SPAM messages, do the following:
Outlook Express 6
- Open Outlook Express
- Select Tools from the main tool bar.
- Select Message Rules, then Mail from the drop down list.
- In Area #1, place a check in the box next to Where the Subject line contains specific words.
- In Area #2, place a check in the box next to Delete it from the server. You will have to scroll down to see this option.
- In Area #3, click on the blue highlighted text contains specific words.
- In the new window, enter "***SPAM" without the quotes.
- Click the Add button to the right.
- Click the OK button at the bottom of this new window, which will close it.
- Click the OK button in the window, this will change it or close it.
- Click the OK button in the window, this will close it. This will close the Message Rules window, and you are done.
Microsoft Outlook 2002
- Open Microsoft Outlook 2002
- Select Tools from the main tool bar.
- Select Rules WIzzard from the drop down list.
- Click the New... button, this will open a new window.
- Select the option Start from a blank rule, Check messages when they arrive should be highlighted.
- Click the Next button.
- Place a check next to with specific words in the subject.
- Click on the blue highlighted text in the lower box which says specific words, this will open a new window.
- Enter the text "***SPAM" without the quotes in the upper text field.
- Click the Add button to the right.
- Click the OK button, this will close the window.
- Click the Next button.
- Place a check in the box next to permanently delete it.
- Click the Next button.
- Click the Next button (again).
- Click the Finish button, this will close the window.
- Click the OK button, this will close the window, and you are done.
You may get a warning during this that emails using the permanently delete it option cannot be retrieved later, this is OK. You may hear a phantom 'new mail' sound ocassionally when SPAM mail arrives and is automatically deleted. Unfortunately there is no way around this.
Eudora 5.2
- Open Eudora Email
- Select Tools from the main tool bar.
- Select Filters from the drop down list
- Click the New button (lower left of the Filters window)
- In the Match box area, do the following:
- Place a check in Incoming
- In the first Header box, select Incoming
- Directly under that on the right side of the box that says contains enter "***SPAM" without the quotes.
- Leave the rest of the boxes in this area alone.
- In the Action box area, do the following:
- In the first option list, select Transfer To.
- A button will have appeared to the right. Click this button, and select the mail folder you wish the SPAM email to go to (like Trash)
- Click the X (close) button in the top right corner of the Filters window. If it asks you if you want to save changes/filters, select Yes. This will close the filters window and you are done.
