The Habitat Scheduling web tools organizes volunteer with minimmal affiliate interaction and effort. This module works in conjunction with, the Volunteer Registration and Orientation, but it is not required as a part of those. This module/add on costs an additional $30 per month. If you need a much more simple construction calendar, we can set you up with a 'regular' calendar where you can post volunteer dates (nothing is automated).

  » Automated Emails...
 
  • When a volunteer schedules themselves for a volunteer date, the system will automatically email them all information (address, directions, maps link, work description, etc) right then.
  • At 4 weeks, 2 weeks, and at 2 days before their scheduled dates, the system will automatically email volunteer date reminders with the same information. If they have scheduled themselves for more than one date, these emails will also contain the details of their other future volunteer dates. As well, an automatic "thanks" email is sent the day after their consecutive volunteer dates.
  • Habitat staff will receive a daily email with all volunteers scheduled that day on each site. This sheet can act as the sign in sheet, and indicates if it's time for each to sign and turn in a new waiver.
  • The system will automatically email EVERY volunteer who touched any volunteer project either 1 week before the dedication (invite?) or 1 day after dedication (notice?). This email will include links to all photo galleries related to this project, all news, and other related information. This alone can bring full circle their volunteer experience, letting them know the home the worked on is completed, and dedicated. If you use this as an invite, you might have record crowds show up!
  • Habitat staff can select to email all volunteers working on any project on any date (last minute details, bring tools, etc).
  • Habitat staff can cancel an entire work date for any or all projects. This will email all volunteers scheduled on that project and date. It will remove them from the schedule, and email them both notifying them of the canceled date, and ask them to re-schedule themselves. This would be used for weather cancellations and the like. If a volunteer scheduled for the date/project did not have an email address in the system, it will automatically email the staff a complete list of all of these volunteers with their phone numbers so you know who to call and cancel if desired.
  •   » Individual Volunteers...
     
  • Once a individual has completed the online registration and orientation, they will be able to view additional features on the Calendar and Projects pages. They will be able to sign up for available volunteer dates, and cancel dates, and view their entire volunteer schedule. They can sign up for single dates, or up to 28 days at a time.
  • They can have their schedule emailed to them all at once.
  • The Calendar page will show at a glance where they are currently scheduled.
  •   » Groups of Volunteers...
     
  • Once the group leader has completed the online Registration and Orientation, they will be able to create a volunteer group.
  • Habitat staff can indicate if all email addresses for all group members are required, or if they can just enter the number of volunteers in the group.
  • Once the group is created, the group leader can then schedule their group anywhere the Habitat staff have allowed volunteer groups. The group leader, and any email addresses of a groups members, will receive the same automated emails (initially, reminders, dedication, etc.) as individuals. Optionally, it can be configured so that groups must"request" to be scheduled on dates which are available. HFH staff will receive their emailed request, with a single click to accept and schedule the group. Automated emails for groups can be sent only to the Group Leader, or the leader and all members.
  • Group members, if their email address was provided by the group leader, will be able to view their scheduled dates similar to how individuals do. They can also have their full schedule emailed to them.
  •   » Projects Page...
     
  • This page is designed to provide all available information about any project/home that your affiliate is currently working on. EXAMPLE
  • Page lists any associated photo galleries, news or stories, provides information about the family or project, and even has designated space to list sponsor information & logos. If the build type has a logo, it also will display this (Women Build, Faith Build, etc), as well as a photo of the family or home. Also lists the project beginning and ending dates.
  • Lists the next 5 dates where there are available volunteer opportunities. A link provides a way to view ALL future volunteer dates for each project.
  •   » Construction Calendar...
     
  • This page is designed as a view at a glance calendar which shows all projects/homes and the available dates all on a single calendar. EXAMPLE
  • Each project is clearly defined, and indicates the total number of available volunteer positions.
  • Volunteer can choose to view 30 days, 60 days, 4 months, 6 months, or 12 months at a time.
  • Volunteer can choose to hide any single project from the calendar, or hide all except for one.
  • Volunteer can select to show only individual dates, only group dates, or show both.
  •   » A Few Administrative Features...
     
  • In the admin tools, 'templates' are provided so that you don't have to retype the same things on each project (directions, donor info, etc).
  • Ability to add all volunteer dates and desired volunteer numbers for a project/home in a single step. Or, you can break it up into sets, and define the details of the expected work on specific dates. Be as detailed or general as you want. You can also have up to 3 "shifts" per date. These can be used to define specific 'reserved' slots for certain groups, while allowing the public to volunteer as well. Or, you can simply have 3 different time slots.
  • Reporting allows you to view all scheduled volunteers by project and date (view, print, or email).
  • See Automated Email section above for the automated report emails. All automated emails have editable text so that you can add your own message. The project details are automatically formatted and inserted to ensure they are all added and are easily readable.
  • Also, it is very helpful if you complete the online Registration & Orientation yourself on the Demo site as if you were going to volunteer before administering those areas. It only takes about 10 minutes, and the administrative web tools will be much more intuitive. If you use a correct email address, you will receive the same emails from the system as a new volunteer would.
